2025 Volunteer Requirements

Hello, Blue Fins!  Below, you will find everything you need to know when it comes to worker commitments for the Beaver Brook Blue Fins Swim Team!  Swim meets are 100% run by volunteers, so it’s essential that we have every family participating in some way.

Here’s an outline of the expectations for this season. (We have made changes from last year!)

Every family will be required to fill THREE SHIFTS over the course of the season at the dual meets. There are jobs to suit all ability levels and family situations (including families with little ones to keep up with). We will find a job that works for you! Substitutes are welcome, so if you do not feel like you are able to complete the shift, you are welcome to arrange for a friend or family member to work in your place.

HOW IT WORKS:  Beside each meet under the Meets & Events tab, you will find a green JOB SIGNUP button.  Go there, and follow the online prompts that take you to a list of available jobs.    Shift 1:  Events 1-35, Shift 2: Events 36-70, or Relay Events:  BOTH Medley Relays and Free Relays (meaning you stay there for the entire meet).

Jobs include the following:

Head Timer

Lane timers (we need 3 per shift)

Scribes (we need 3 per shift and we will use new families for this position)

Jump Judges for relays

Finish Judge

Runner

Scoring

Sorters

Computer Entry

Relay-parents (we will use new families for this position)

Stroke and Turn officials

Starter

*For home meets, we will also have concession workers and people to run water.

 Family quotas will be managed by the Volunteer Coordinators. The coordinators will contact you if you have not RSVP’d for any meets, and they will work with you to place you in a position. Many summer league teams impose monetary fees on families who do not fill their worker shifts. Our board is very much opposed to doing that, and we hope to be able to keep it that way. We NEED every family will step up and do their part to keep us from having to take more drastic measures.

We have developed some committees that will also earn you shift points. If you are a parent that is not able to attend the meets, then please consider doing one of these jobs! Many of these jobs happen at times other than meet times. The job template can be found online. Feel free to choose one of those if it suits you!

We have added some “job shadow” shifts. If you are placed in one of these shifts, you will be learning the ropes of a new job! These jobs are some of the ones that might feel more intimidating to those who have never done them. Our goal is to make everyone feel comfortable. 

SMOKY MOUNTAIN INVITATIONAL AND CITY MEET: As you noticed during registration, the Smoky Mountain Invitational Meet and the City Meet will be considered independent from the shifts fulfilled during the regular season. In other words, fulfilling your volunteer shifts during the dual meets does not make you exempt from volunteering at these larger meets. OUR TEAM IS FINED AND WE ARE DOCKED POINTS IF WE DO NOT FILL THE VOLUNTEER SLOTS THEY ASK US TO FILL. Each of these meets will have an “open enrollment” period where families can volunteer if they choose to. There are many families who look forward to volunteering at these events, so we want that opportunity to be there. After the voluntary period has ended, the coordinators will fill these slots by holding a lottery to fill the slots based on parents who are attending.

The only exemptions made for Smoky Mountain Invitational and City Meet will be for families who have never participated in one of these meets before. Also, if you have a situation where you are truly INCAPABLE of fulfilling a volunteer shift at one of these meets due to a hardship or family situation, please speak with Coach Brett or an BBBF Board Member.

We are really looking forward to a great season! Things will go very smoothly with everyone involved and working together! We have always been a great big “summer swim family” and we hope to continue to help that grow! Thank you all in advance for your cooperation and understanding! Go Blue Fins!
